Position management is a strategic approach used by organizations to streamline and optimize the allocation and utilization of open positions within their organizational structure. Unlike other workforce management methods, position management allows employee records to be separated from positions.
This approach means that open positions can be created, enabling human resources (HR) teams and managers to plan their ideal company structure and identify staffing needs. Other key functionalities include updating organizational charts (org charts) in real-time and keeping a record of position data, such as previous employees who held that position, start dates, and end dates.
Without position management functionality, positions are intrinsically linked to employees. If an employee leaves, the position is removed from the system along with any associated position data. This alters the company structure within the system until that position is recreated and filled, which leads to time-consuming data entry and a higher risk of inconsistencies.

The duration that each employee holds a position is called an Employment Term. These can be set to active or inactive, and you can see the history of each employee who previously held a position. In addition, each position can contain a job description.
Individual employee records can be managed separately, but managers and employment start and end dates are always changed within the position management feature. This ensures that the job titles, employment dates, and hierarchy are always consistent. The hierarchy can also be visualized as an org chart, which is updated in real-time.
